The Company

A Family Office based in Central London/City

The Role

Varied duties working in a team with responsibility for Accounts/Banking & Administration.

Dealing with invoices received-check correct; preparation of authorisation/coding front sheet to be signed off by CES-entry onto system with adequate narrative; preparation of payment to be authorised/cheque to be signed.

Accessing bank accounts online and obtaining statements for reconciliation, weekly or monthly.

Payment of invoices via online Banking Entering any cheques, payments, deposits onto our accounting system - QuickBooks as soon as they are made so that back rec's can be completed

Doing all office paperwork filing including invoices and payments -filing to be cleared weekly

Help to sort out paperwork / files - ad hoc - eg file reorganisation /new file set up

Arranging for files to be boxed, clearly described on box and in index and sent to archive ; arranging for any boxes needed to be retrieved from archives

Update filing lists with any new files that are created or moved elsewhere and any files sent to archives so that any information can be easily found from central index

Chasing any missing bank or other statements, invoices, vouchers etc

Help with completion of audit worksheets e.g. expenses analysis, investments and income analysis, fixed assets and depreciation, deals sheet, credits, debtors etc.

Collating information on travel and entertaining invoices (ongoing)- as per existing spreadsheets

Assisting with the collating of information for P11D forms into an Excel document.

Assisting with control account reconciliations

Qualifications experience

A sound knowledge of banking, banking systems and procedures

Quickbooks online an advantage but not essential.
