Responsibilities:

Accounts Payable

  • Processing and coding invoices (c. 200-250 per month and growing), obtaining appropriate Management authorisations
  • Record and log invoices received
  • Processing employee expenses and credit cards
  • Set up invoices and expenses for payment
  • Prepare and process cheques and bank payments
  • Reconciliation of payments
  • Monitor accounts to ensure payments are up to date
  • Resolve invoice discrepancies
  • Correspond with suppliers and respond to enquiries
  • Creating new supplier accounts and maintaining details

Intercompany

  • Updating intercompany journals, invoices and statements in a regular basis
  • Reconciliation of intercompany statements within monthend deadlines
  • Work in close co-ordination with Paris, US, Asia and other entities to smoothly process and reconcile all intercompany transactions

Bank

  • Updating bank statements with relevant information and checking balances against Financial System
  • Creating and maintaining supplier bank details
  • Posting all supplier, intercompany and ad hoc bank transactions
  • Bank recs

 

General

  • Updating prepayments schedules
  • Maintaining fixed assets schedules and posting depreciation
  • Ad hoc tasks and projects as required
  • Updating exchange rates on daily basis
  • Improve on existing processes

Knowledge required (Finance and systems):

  • 5 years experience managing accounts payable, within a small team or autonomously.
  • Understanding of the complete accounts payable process is essential.
  • Proficient in data entry.
  • Knowledge of intercompany processes and reconciliations would be an advantage.
  • Intermediate Excel skills, including pivot tables.
  • Knowledge of SAGE an advantage
  • Other general accounting knowledge would be an advantage
