THE COMPANY

The company is a private family office and trust company for a highly respected family. The business includes acting for individual members of the family office and as trustee, providing trustee administration services and investment management, appointment of 3rd party providers, and offering general advice to trustees and individuals. The day to day investment management activities are delegated to external fund managers.

SKILLS & EXPERIENCE REQUIRED

  • RDR level 4 qualified essential
  • A broad knowledge of the financial services industry within an investment company, family office, financial services company or similar environment is essential;
  • Excellent standards of written and spoken English and excellent proven interpersonal and presentation skills are essential;
  • To be proficient in Excel and other standard applications;
  • Strong numeracy skills;
  • Requires acceptance of the importance of confidentiality;

THE ROLE

The role is responsible for all matters relating to client suitability and FCA RDR compliance carried on by the business. This role is to ensure all the business's investment regulatory requirements are complied with, and specifically to ensure that the investment requirements of all clients are understood and implemented correctly. In addition, where clients are seeking investment advice that is not specific to the delegated fund manager that this is addressed in accordance within the business's FCA permissions. The role includes the following:

Suitability and client contact

  • Overall responsibility for initial and ongoing client profiling and assessment of client suitability;
  • Overall responsibility for maintaining a record of client investment mandates and ensuring that the delegated investment manager is kept up to date with any changes;
  • Co-ordinating with the Private Client Manager on the annual review of investment mandates of individuals;
  • Reporting any investment mandate changes at Board meetings;
  • Maintaining diary and rolling programme of all client investment meetings (private clients and external trustees) including frequency and dates of investment meetings;
  • Collating investment reports and information of a client's circumstances ahead of client investment/confirmation of suitability annual meetings;
  • Organise and attend client meetings alongside the private client, trust & charity teams as appropriate;
  • Minute meetings (independent of those prepared by the delegated fund manager) and follow up action points as required;

Portfolio management and delegated fund managers

  • Overall responsibility for monitoring all aspects of the investment portfolios, including liaising with the delegated fund managers, understanding the underlying investments, monitoring liquidity levels in the portfolios and any other aspects of the portfolio that may arise from time to time;
  • Overall responsibility for all investment review meetings with managers;
  • Liaising with the delegated fund managers in respect of investment performance ahead of any client meetings in order to have a co-ordinated presentation approach;
  • Monitoring and taking necessary action on any outliers to the investment mandate, where no action taken to record the reasons;
  • Maintaining comparative figures on performance on all delegated investment managers on a quarterly basis;
  • Organise any beauty parade if a new manager is going to be appointed;
  • Dealing with all corporate actions;
  • Maintaining register and monitoring ISA / JSAR and ensuring all clients qualifying are included;
  • Coordinating information and liaising with the principals in relation to any "execution only" investments;

Family investment vehicles

  • Analysis of the investment fund performance on a monthly basis;
  • Analysis of purchases and sales of investment fund with explanations given by the relevant Trust or Private Client Managers;
  • Responsibility for establishing any new business or client led investment vehicles;

Trustee Policy Statements

  • Co-ordinating with the Trust Managers on the annual review of trustee investment policy statements;

Board reports

  • Reporting to the Board and attending Board meetings where necessary (portfolio review meetings);

Administration

  • Maintaining the fee grouping records and advising the external fund managers of any changes;
  • Overall responsibility for the opening and closing procedures for all client accounts after liaison with the Trust Managers and Private Client Manager;
  • Maintaining information and monitoring various types of investments held;
  • Responsibility for testing fees from providers on a selected number of accounts on a quarterly basis;
  • Maintaining a record of closing accounts and the remaining asset disposals necessary to facilitate full closure;
  • Responsible for custodian service providers and monitoring any issues raised.
